Job Description

General Summary of Position
Provides analytical, project management and operations support to service line. Collaborates with management team and key stakeholders to enhance the efficiency of the service line.


Primary Duties and Responsibilities

  • Assists in tracking and coordinating capital project requests, including budget oversight and invoice and purchase management. Serves as liaison to assure all capital project requests are entered, tracked and implemented in accordance with organizational timelines.
  • Reconciles INR report. Communicates with requisitioner and Supply Chain. Compiles data and updates report.
  • Provides support to priorities in Annual Operating Plan and special projects.
  • Develops project plan and associated communication documents.
  • Directs and manages project development from beginning to end. Define project scope, goals and deliverables that support business goals in collaboration with senior management and stakeholders.
  • Leads project meetings as directed.
  • Effectively communicates project expectations to team members and stakeholders in a timely and clear fashion. Acts as liaison with stakeholders on an ongoing basis.
  • Develops and maintains special reports as requested.
  • Serves as Emergency Preparedness Coordinator for MMG on system level committee. Attends Emergency Preparedness meetings. Coordinates and participates in policy development and EP planning initiatives and activities.
  • Participates in multidisciplinary quality and service improvement teams as appropriate. Participates in meetings, serves on committees, and represent the department in community outreach efforts as appropriate.
  • Coordinates all provider and special mailings, including Medicare Wellness, new site acquisitions, new/departing provider announcements and office opening/closing announcements. Coordinates between mail house, operational lead, marketing and print ship. Coordinate invoice processing and postage escrow account.
  • Creates and maintains meeting schedules including scheduling of conference rooms, catering and meeting invitations.
  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards and safety standards. Complies with governmental and accreditation regulations.
  • Provides administrative support to AVP of Operations.

  • Minimum Qualifications
    Education

    • Bachelor's degree Business/Health Administration or related field preferred.

    Experience

    • 3-4 years Experience in a health care setting; preferably providing project management and high-level administrative support to executives required.

    Knowledge, Skills, and Abilities

    • Demonstrated organizational, problem solving, interpersonal, verbal and written communication skills. Ability to manage multiple priorities efficiently and complete all assigned tasks in an effective manner. Ability to interact with a variety of constituents throughout the organization from staff level to executive management. Driven to deliver excellence in all areas of responsibilities to assure accuracy, clarity and completion of work. Process oriented and customer service focused. Highly organized with problem solving abilities. Team player.
