Position Highlights

This position assists with managing the daily financial and administrative operations for Maricopa County Cooperative Extension. The Accounting Assistant III will be responsible for assisting the business office with budget management, maintaining monthly reporting, and working with faculty and staff to provide business office support.

A high degree of professionalism, organization, discretion, initiative, collaboration, and ability to follow instructions while using good judgment and problem-solving skills is expected. The candidate must be capable of performing various tasks independently and under the direction of a supervisor.

Duties & Responsibilities

* Provide monthly financial reports to PI's and business team.
* Create requests for vendor setups, payments and purchase orders.
* Point of contact for vendor related inquiries and actions.
* Assist with special department events and activities.
* Administrator for the copier and postage meter: load postage, maintain codes and create accounts.
* Receives and logs daily revenue and gifts.
* Assists with managing a variety of operational process and/or projects as needed, including updating and improving processes and practices.
* Process and manage travel and expense reimbursements.
* Make weekly revenue deposits to bank.

* Support the development and established procedures for daily operations according to University and Division policies.
* Assist with preparing required, operational, and special budgets.
* Interpret, implement, and/or recommend changes to policies and procedures based on internal and external needs.
* Manage and setup new Designated Campus Colleagues (DCC).
* Maintain department office supplies inventory.
* Initiate application process for new P-Card holders.
* Serve as backup to P-Card reconciliations.

* Work closely with the University, departments, and accountants to ensure relevant and appropriate activities are performed timely and accurately.
* Serve as a resource for answering questions regarding expenses and reporting.
* Serve as initial contact/liaison to manage department inventory and bi-annual university capital inventory reporting process.
* Review budget activities and monthly reports with appropriate personnel from Urban Agriculture Production Small-Scale & Beginning Farmer Program to ensure data integrity and shifting priorities are accounted for.
* Substitute at the front desk when needed.
* Other duties as assigned.

* Ability to handle confidential and sensitive information.
* Skilled with financial software, Adobe, Microsoft Suites, and other applications related to the position.
* Excellent verbal and written communication skills.
* Skilled in preparing detailed reports on a timely basis.
* Ability to analyze and problem-solve.
* Ability to work independently and within a team environment.

Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
Preferred QualificationsBachelor's degree in accounting or business related field.
